What is The Purpose of an O&M Manual?

What is the purpose of an O&M Manual I hear you saying?

Well…an Operation & Maintenance (O&M) Manual is a structured document provided at the end of a project that brings together all essential information about the works completed. This includes materials, equipment, drawings, certificates, warranties, and maintenance requirements. Its purpose is to ensure the client can safely operate, maintain, and replace any part of the installation throughout its lifecycle.

My Role

Within my role as contract administration support, I am responsible for the producing these manuals. They can be time‑consuming to create because they require gathering information from every part of the projec. Electrical, mechanical, building, painting, flooring and more.

A well‑structured O&M Manual becomes a long-term reference document for; facilities managers, future contractors and building owners. It supports the building throughout its lifecycle, not just at handover.

The O&M Manual consolidates everything into one place, which makes life easier for our clients and prevents them having to hunt through emails, suppliers, or contractors. This saves our clients time and prevents information loss over the lifespan of the building or system.

Replacement Components

Replacement components may be required years later. The O&M Manual provides: product details, model numbers, installation locations and approved replacement parts to ensure repairs are done correctly and safely.

It also offers clear instructions and safety guidance, helping clients operate equipment or systems without risk — especially important for electrical installations, fire safety systems, and specialist equipment.

Many projects we undertake require proof of compliance with UK regulations and standards. The O&M Manual acts as evidence of; commissioning, testing, certification, adherence to relevant British Standards and warranties and guarantees. This is increasingly important under the Building Safety Act

Not all works justify a full O&M Manual. Smaller jobs or minor repairs may only require a completion certificate, a datasheet or a simple handover note.

Larger or regulated projects, however, must have a full O&M Manual.
